1. OBJECTIVE

The objective of The Festival of the New European Bauhaus online call for expressions of interest platform is to receive applications for contributing to the first edition of The Festival of the New European Bauhaus, as explained in our dedicated guidelines. 

Personal data related to The Festival of the New European Bauhaus  is processed under the responsibility of the European Commission’s Directorate General for Research and Innovation (DG RTD) as Data Controller and in accordance with data protection rules as established by Regulation (EU) 2018/1725[1] of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data.

The following entity is processing the personal data on behalf of the Directorate General for Research and Innovation: VO Europe (TheFestival-NEB@vo-europe.eu) in order to provide you with information about the specific next milestones (before, during and after The Festival) and to process your application for contributing to the first edition of The Festival of the New European Bauhaus.

Personal data will be processed solely for the purpose of evaluating your application (and subsequent management of your contribution and, if needed, programme monitoring, evaluation and communication).

By submitting the application, together with this Privacy Statement, the applicant(s) accept that the organisers will share their data with the relevant parties involved in the evaluation and selection process and contact them for further proceedings. For applications involving more than one entity (person or organisation), by signing this, the applicant(s) accepts the transparency and data protection provisions for each entity; failure to provide the necessary consent here shall lead to exclusion from the competition.

2. WHAT PERSONAL INFORMATION DO WE COLLECT AND THROUGH WHICH TECHNICAL MEANS?

        2.1. Identification Data

Personal data collected and further processed are data necessary for the management of application submissions, such as:

Name, username, e-mail address of the person creating the account and submitting and expression of interest;

Contact details of the organisation implementing the project (project promoter) such as:

Organisation name, postal address, website/social media accounts and contact details of their representatives, such as: name/surname/title/function/e-mail addresses/phone number, type of activity; detailed description of the applicant projects including project title, project summary, call of expression of interest category, project location, project funding; high resolution images and videos; accompanying project-related documents; project communication plan; activities planned, duration; performance expenses.

The processing operations on personal data linked to the management of this competition are necessary under Article 5(a) and (d) and recital 22 of Regulation (EU) 2018/1725

        2.2. Technical information

VO Europe uses Moodle to host the call for expressions of interest platform. At login Moodle will place a technical session cookie on the user machine. This technical cookie is mandatory for the proper functioning of Moodle and will be automatically deleted at the end of the session – i.e., when the browser page is closed.

3. WHO HAS ACCESS TO YOUR INFORMATION AND TO WHOM IS IT DISCLOSED?

Access to all personal data and information collected in the context of this procedure is only granted through userID/password to a defined population of users, without prejudice to a possible transmission to the bodies in charge of a monitoring or inspection task in accordance with Community legislation. These users are typically members of the Unit organising the Festival of the New European Bauhaus inside the Directorate-General for Research and Innovation, and its contractor VO Europe acting as Data Processor. No personal data is transmitted to parties which are outside the recipients and the legal framework mentioned. The European Commission will not share personal data with third parties for direct marketing purposes.

4. HOW DO WE PROTECT AND SAFEGUARD YOUR INFORMATION?

The collected personal data and all information related to the above-mentioned procedure is stored by VO Europe, which has to guarantee the security and confidentiality of the collected information. Inside VO Europe, the database can be accessed using a userID/password

In addition to the above, in accordance with Article 38 of the EU Financial Regulation, information about contributors could be published on the Europa website. The publication can exceptionally be waived (on reasoned and duly substantiated request), if there is a risk that the disclosure could jeopardise your rights and freedoms under the EU Charter of Fundamental Rights or harm your commercial interests.

5. HOW CAN YOU VERIFY, MODIFY OR DELETE YOUR INFORMATION?

6. HOW LONG DO WE KEEP YOUR DATA?

Your personal data will remain in the European Commission database until the end of the event, taking into account post communication and report. Personal data will be deleted, at the latest, one (1) year after the last action in relation to this edition of The Festival in the framework of which the event was conducted.

The collected personal data and all information related to the event will be erased by the Contractor at the latest six months after the end of the contract.
